1. General Return Window & Policy

We maintain a strict 30-day policy for filing any return or refund claims, meaning you must contact us within 30 days of receiving your item. However, please note that aftermarket replacement engine long blocks are strictly non-returnable and non-refundable, except in the specific and verified case of inherent manufacturing defects, as detailed in Section 3. We do not accept returns for buyer's remorse or ordering errors.

2. Non-Returnable Items & Buyer's Remorse

The following situations and items are explicitly NOT eligible for return, exchange, or refund:

• Engines ordered incorrectly by the customer (including but not limited to choosing the wrong model, incorrect fitment, incompatible specifications, or mismatched VIN).
• Engines that have been un-crated, oiled, installed, attempted to be installed, disassembled, or modified in any way.
• Parts or engine blocks damaged due to improper installation, technician error, abuse, negligence, or use of incorrect fluids/supporting components.
• Any item not in its original condition: the original factory wooden crate and all internal packaging must be 100% intact and unopened. Once the crate seal or strapping is broken, the item is legally deemed "used" and permanently non-returnable.
• Sale items, promotional items, gift cards, and custom or special orders.

3. Quality Defect Claims (The Sole Valid Basis for Return)

If you suspect an engine long block possesses an inherent manufacturing quality defect, the following mandatory legal verification process applies:

• Initial Notification: You must contact us within 30 days of delivery at info@xinlinautoparts.com, providing your order number, vehicle VIN, and clear high-resolution photos and videos documenting the alleged fault.
• Mandatory Third-Party Verification: To prevent misdiagnosis or installation errors being blamed on factory defects, the Buyer MUST submit a formal, comprehensive inspection report from a licensed, bonded, and independent third-party automotive machine shop or certified master mechanic (e.g., ASE-certified in the US, Red Seal in Canada, or licensed equivalent in Australia). This report must be issued on the repair facility’s official letterhead, including a detailed diagnostics log, trouble codes (DTCs), specific disassembly findings, and proof that the engine was professionally tested. All inspection fees shall be borne entirely by the Buyer.
• Technical Review: Upon receiving your complete claim and the third-party report, XINLIN will coordinate with our engineering team and the factory to verify the defect. We reserve the right to request additional digital evidence, part return for physical analysis, or a second independent opinion.
• Resolution: If a factory manufacturing defect is definitively confirmed by us, XINLIN will, at our sole discretion, choose to: (a) provide a replacement engine, (b) provide replacement parts, (c) provide a partial refund to cover local repair costs, or (d) authorize a return for a full refund of the product purchase price (excluding any inspection fees paid by the Buyer). If no inherent manufacturing defect is found, the claim will be denied.

4. Order Cancellations Before Shipment

If you request to cancel an order after payment but before the product has been shipped, a 10% order handling and restocking fee will be automatically deducted from your refund. This fee strictly covers irreversible administrative costs, crating labor, and non-refundable transaction fees charged by payment processors. Once a shipment has departed our warehouse, the order cannot be canceled.

5. Customer's Return Shipping & Tax Obligations

In the rare event that a return is explicitly authorized by us in writing for a confirmed manufacturing defect, the Buyer remains responsible for arranging, scheduling, and paying for all return ocean/air freight, as well as all associated customs clearance fees, import/export duties, and local taxes. The engine must be returned securely in its original crate to our primary manufacturing warehouse at:

We strictly require the use of a trackable, insured shipping service. XINLIN is not liable for any goods lost, delayed, or damaged during return transit.

6. Damages Upon Arrival (Logistics Claims)

We value the condition of our products. All engines are packaged in custom-made wooden crates. You must inspect your crate thoroughly upon delivery BEFORE signing the carrier’s Delivery Receipt or Bill of Lading (BOL).

• Visible Damage: If the crate or engine shows visible shipping damage, you must note "Damaged upon receipt" clearly on the BOL, take immediate photos/videos, refuse the delivery if damage is severe, and notify us within 48 hours.
• Concealed Damage: For concealed damage discovered after the crate is opened, you must report it to us within 2 business days of delivery with supporting photos.
• Failure to comply with these timelines or noting damage on the BOL will release the carrier from liability, resulting in an automatic denial of your claim.

7. Refund Process

Once your authorized return is physically received, inspected, and verified at our Guangzhou warehouse, we will notify you via email of the approval or rejection of your refund. If approved, the refund will be processed back to your original payment method within 10 business days. Please note that your bank or credit card issuer may require additional processing time to post the credit to your account.

8. Contractual Agreement Against Chargebacks

By completing a purchase with XINLIN AUTO PARTS, you agree to resolve any issues exclusively through our internal customer service channels and the procedures outlined in this policy. You explicitly agree not to initiate a payment dispute or chargeback with your credit card company, PayPal, or financial institution as a first resort to circumvent this return policy.

Filing a chargeback while the engine remains in your possession, or before our mandatory quality verification process is completed, constitutes a material breach of contract and civil conversion (theft of property). XINLIN will aggressively contest all unauthorized chargebacks using this signed policy, checkout logs, and delivery receipts. In such an event, the Buyer becomes immediately liable for the full retail value of the retained goods, plus a 15% administrative fee and all legal, collection, or court costs incurred by us.

9. European Union Statutory Exceptions

Notwithstanding the above, if your order is being shipped to a consumer within the European Union (EU), you may have a statutory 14-day cooling-off right under EU Consumer Directives. However, due to the technical nature of heavy machinery, this right is automatically and permanently waived the moment the engine crate seal is broken, packaging is opened, or installation is attempted, as the product can no longer be safely reshipped in its original certified hazardous-freight configuration.
